What is email warm-up and how is it done?

What is email warm-up? 

If you’re noticing that emails to your contacts aren't being sent out all at once, this is likely because your email domain is being warmed up by Fello to help with better email deliverability. 

When you first sign up to Fello, you may have configured a new email sending domain, which is used to send email communications to your contacts from Fello.

Email service providers (Gmail, Yahoo Mail, etc.) strictly monitor newly created domains to ensure that they are not used to send spam.

The following actions will severely impact newly created email domains: 

  • Spam Reports: Even a low ratio of spam reports can negatively impact your domain.
  • High Volume: Sending out a high volume of emails right from the get-go may impact your domain negatively. 
  • High Un-Open Ratio: A high ratio of unopened emails may signify that your recipients are either uninterested or did not provide consent to be contacted. 

Such activity could cause your domain to lose trustworthiness and emails sent from your domain will typically end up as spam, and will not be delivered directly to a recipient’s inbox. To prevent this, and to ensure optimal email placement in your recipient’s inbox, Fello performs a “warm-up” for your domain.

🗒️ Note: Warm-ups may sometimes be required if you have a large spurt of new contacts added to your database, even if your domain was warmed up previously.

How does Fello perform a warm-up?


Fello warms up your domain by gradually ramping up the number of emails that are sent to your contacts every day. This minimizes the number of spam reports that can occur each day, and as your contacts engage with your emails, your domain’s trustworthiness slowly increases, or “warms up”. 


When your domain has successfully ramped up to a certain volume of emails each day, your domain is considered as warmed-up, and you can send emails to your contacts at maximum daily capacity.

Fello’s smart, tailored process adjusts your daily email ramp‐up schedule to fit your unique needs, ensuring you reach fully warmed‐up status efficiently and effectively.

Warm-up typically takes between 1-3 weeks, depending on the size of your contact database.

During the warm-up period, any emails that are supposed to be sent out after reaching the daily capacity will be scheduled to be sent out the next day. So, warm up does not prevent emails from being sent, but rather holds them off for later, in-line with your account’s warm-up schedule.

Example: If you currently have 1000 emails that need to be sent, Fello might schedule them to be sent over 7 days, with a gradual increase in volume each day. Here’s what a sample warm-up schedule will look like:

(This schedule will depend on the size of the contact database as well, so it might not be the same for you, even if you have 1000 emails that need to be sent.)
